NOTICE OF EQUESTRIAN VICTORIA ANNUAL GENERAL MEETING (AGM) 7:30 pm | 19 NOVEMBER 2024
Notice is hereby given that the Annual General Meeting of the members of the Equestrian Federation of Australia - Victoria Branch Inc. will be held online via Teams on 19 November 2024 at 7:30 pm (AEDT).
ATTENDING THE AGM
All eligible voting members need to register to attend the AGM using Teams. Please register using the link below.
You will then receive a confirmation email with the meeting details, including a link to JOIN THE EVENT. Note that you may need to install Microsoft Teams onto your device if you do not have it already installed. https://www.microsoft.com/en-au/microsoft-teams/download-app
Registration must be completed by Tuesday 12 November, 5:00 pm.

The Ordinary Business of the Annual General meeting is as follows
1. To confirm the minutes of 2023 Annual General Meeting
2. To receive and consider
a. The Equestrian Victoria 2024 Annual Report
b. The Audited Financial Statements of the Association for the preceding financial year.
Election of Directors
A call for nominations under Clause 23 a) of the constitution was conducted.
As the number of nominations received for the Board is equal to the number of vacancies to be filled then those nominated shall be declared elected at the Annual General Meeting by the Returning Officer.

The Affiliate Voting and Proxy Form, available below, must be completed and received by the Chief Executive Officer, Derek O'Leary, by email at [email protected] or by post to PO Box 616, Werribee, VIC 3030 no later than 7.30 pm, 15 November 2024.
Key Dates to Remember:
- 15 October 2024, 5:00pm: Deadline for submitting Board Nomination Forms. These forms, along with the Nomination Criteria, were sent via eDM on 20 September 2024 and are also available below.
- 18 October 2024, 5:00pm: Deadline for submitting Notices of Motion. You can access the Notice of Motion form below.
- 28 October 2024: The official notice of the AGM will be sent to all members. This notice will include details on how to register and attend via Teams, along with any important information regarding voting procedures. Affiliates will also receive Proxy Forms at this time.
- 15 November 2024, 5:00pm: Deadline for affiliates to return Proxy Forms.
